One of the biggest concerns companies have when evaluating a new ERP system is implementation.

How long will it take? How much work will my team need to do? Will operations be disrupted? What does the implementation process actually look like?

At Kaizntree, the implementation process has been designed to be as straightforward as possible. Rather than asking customers to configure the system themselves, the Kaizntree team performs all the heavy lifting from data migration and account setup through to integrations, training, accounting configuration, and software customization.

The goal is simple: help your team begin realizing value from Kaizntree OS as quickly as possible while minimizing disruption to your day-to-day operations.

The Kaizntree OS Implementation Process:


While every implementation is unique, most customers progress through these stages over approximately four weeks, with training, software customization, and support continuing beyond go-live.

1. Account Set-up

The implementation begins by setting up your operational data.

This includes:

  • Finished products

  • Raw materials

  • Packaging

  • Intermediary products

  • Shipping materials

  • Bills of Materials (BOMs)

  • Suppliers

  • Wholesale Customers (where applicable)

  • Co-manufacturers (where applicable)

The Kaizntree team reviews all data before importing it into the system, identifying any inconsistencies or missing information that should be resolved before implementation continues.

It's import to configure your complete operational environment from the outset rather than implementing only part of the business. Having all operational data available during implementation makes the integration, testing, training, and fine-tuning stages significantly smoother.

Once everything has been imported, your team reviews your new Kaizntree OS account to confirm the information is accurate before moving to the next stage.

2. System Integrations

Once the Account Set-up stage is complete, the Kaizntree team integrates all your relevant platforms. 

This may include:

  • Shopify

  • Amazon

  • SPS Commerce

  • Warehouse Management Systems (WMS)

  • Third-party Logistics Providers (3PLs)

  • QuickBooks

  • Xero

During this stage, the integrations are connected and Kaizntree OS begins pulling information from these systems, allowing your team to start seeing customer orders and operational data flowing into the platform.

The two-way data sync is intentionally turned off at this stage. This allows your team to safely test the system using live operational data before Kaizntree OS begins updating inventory, accounting, or other information back to connected platforms.

For accounting software such as QuickBooks and Xero, the Kaizntree team works directly with your accountant to configure the integration according to their accounting requirements.

3. Fine-Tuning

Once the account has been configured and the integrations are connected, your team begins testing Kaizntree OS as part of day-to-day operations.

This stage allows everyone to work with actual operational data and identify any gaps between the software and the way your business operates.

For example, your team may decide they would like an additional report, a different dashboard, an easier workflow for completing a particular task, or another operational improvement.

As these requests arise, the Kaizntree team adapts the software to match your operational requirements.

This collaborative process is a core part of every implementation and ensures the platform reflects how your business actually operates before go-live.

For self-manufacturing businesses, this is also when the Kaizntree team sets up your quality assurance documentation and production checklists.

4. Go Live

The final implementation step is importing your current stock-on-hand balances.

Once this has been completed, the Kaizntree team turns on the two-way integrations, allowing inventory, accounting, and other operational data to automatically flow between Kaizntree OS and your connected systems.

At this point Kaizntree OS becomes your live operational system.

Because all testing and customization have already been completed, the transition to live operations is typically smooth and requires minimal disruption.

5. Ongoing Training & Support

Implementation does not end on the go-live date.

The Kaizntree team continues meeting with your team on a weekly basis to answer questions, provide additional training, and implement further software adjustments as your business evolves.

Most customers continue weekly check-in meetings for several weeks after going live before transitioning to monthly or ad hoc check-ins.

Your team continues working directly with the same implementation specialists who already understand your business and operational workflows, rather than submitting requests through a ticketing system.

Yes.

In fact, migrating from another ERP or inventory management system is typically the most straightforward type of implementation.

Because your products, ingredients, intermediary products, packaging, bills of materials, suppliers, customers, and other operational data already exist in a structured database, the Kaizntree team can usually export this information directly from your existing system.

The Kaizntree team then reformats the data where required and imports it into Kaizntree OS.

Since the data is already structured, very little cleaning is typically required, making ERP migrations highly efficient.

We're currently using spreadsheets. What does implementation look like?

Spreadsheet implementations usually require a little more preparation (by the Kaizntree team).

Unlike an ERP system, spreadsheets often contain missing information, inconsistent formatting, duplicate records, or partially completed product data.

The Kaizntree team reviews the data, identifies any gaps, works with your team to resolve them, and prepares everything for import into Kaizntree OS.
